Hidden wedding costs can sometimes add thousands of dollars to your wedding if you’re not educated. Sticking to a budget can be very difficult, not because you did anything wrong, but because nobody handed you a complete picture upfront of what to ask. Wedding Catering (what to know)

One of the biggest budget traps couples fall into is offsite catering. It seems straightforward at first — you pick a menu, you get a quote, you sign a contract. Servers

Most catering companies charge separately for servers, and not just one or two. A wedding of 150 guests might require eight to twelve servers to run a proper plated dinner service. Gratuity

Then comes gratuity. Many catering contracts include an automatic service charge of 18 to 22 percent, applied to the entire food and beverage total — which by the time you’re feeding 150 people, is already a large number. On a $12,000 catering bill, that’s an extra $2,160 to $2,640 added on at the end. And here’s the part that catches couples off guard: that service charge often doesn’t actually go to the servers. It goes to the catering company. If you want to tip the staff who worked your wedding, that’s an additional expense on top of it.

After the event charges

There are also charges that come through only after the event — things like overtime for servers who stayed longer than estimated, travel fees if the venue is outside the caterer’s standard service area, or fuel surcharges for transporting equipment. You don’t see these until the final invoice lands in your inbox the week after your honeymoon.

The cake cutting fee.

Sounds absurd, but it’s real. Many venues charge $3 to $8 per guest just to slice and serve a cake you already paid for. On a guest list of 150, that’s over a thousand dollars for someone to pick up a knife.

Corkage fees.

Bring your own wine to save money? Expect to pay $15 to $45 per bottle just for the privilege of opening it on their premises. The “savings” vanish quickly.

Vendor meals

Your photographer, DJ, coordinator, and officiant all need to eat — and most venues require you to feed them at the same per-head rate as your guests. With five or six vendors, that’s hundreds of dollars you didn’t budget for.

Overtime charges

The night is going beautifully and nobody wants it to end. Then the venue manager taps you on the shoulder and tells you that every additional hour costs $800. Suddenly you’re doing math at your own wedding.

Rentals not included

That gorgeous ballroom in the brochure? Those chairs, linens, and table settings were brought in for the photoshoot. Your actual booking often comes with four walls and a floor — everything else is extra.

Parking and shuttles

The dreamy countryside estate you fell in love with has no parking and is forty minutes from the hotel. A shuttle for your guests runs $2,000 to $3,000. Nobody mentioned that at the site visit.

That’s not one delivery charge, that’s often itemized separately — delivery, setup, and then a pickup fee after the event. The same goes for any large DIY display mirrors you sourced, the wooden signage, the ornate frames, the easels. Each piece that leaves a warehouse and needs to come back is a transaction, and those transactions add up to several hundred dollars before you’ve even thought about it.

Rental companies operate the same way. A dessert table display unit, a macramé backdrop, a vintage bar cart — each one has a delivery window, a setup fee, and a separate strike fee for the crew that comes back at midnight to break everything down and load it into a van. If your venue has a narrow pickup window or requires after-hours retrieval, expect a premium on top of that.

Then there’s the world of getting yourself ready.

Alterations

Alterations on your wedding dress are almost never included in the purchase price, and they’re rarely cheap. Depending on how much work needs to be done — hemming, taking in the bodice, adding bustle buttons, adjusting straps — alterations can run anywhere from $300 to $1,500 or more. And because you’re coming back for multiple fittings, there’s also the quiet cost of time and transportation that nobody budgets for.

Bridesmaids dresses carry their own alteration costs too. Each bridesmaid is responsible for her own, but if you’re the one who chose a style that requires significant tailoring, you’ll feel the social weight of that. Some brides quietly absorb these costs to avoid friction, which means it comes out of the wedding budget anyway.

Hair and makeup

Hair and makeup is another area where the sticker shock tends to come in waves. Most stylists require a trial run before the wedding day — this is genuinely important, not an upsell — but the trial costs nearly as much as the day itself. Budget $150 to $300 for the trial, then the same or more per person on the wedding day. Multiply that across yourself, your bridesmaids, your mom, your future mother-in-law, and the flower girl who somehow got added to the list, and you’re looking at $1,500 to $3,000 before anyone has walked down the aisle.

Travel fees

For your hair and makeup team are usually separate as well. If they’re coming to you at a hotel or venue, expect a travel surcharge of $50 to $150 per artist, and sometimes a minimum booking requirement that means you’re paying for hours you didn’t need.

Appetizers

Appetizers are one of the most underestimated line items in the entire wedding budget. Couples focus on the dinner cost per head and forget that cocktail hour comes first — and guests are hungry. A proper passed appetizer spread for 150 people, with three or four options and enough quantity that nobody feels like they’re rationing, can easily run $1,500 to $4,000 depending on the caterer. Some venues treat cocktail hour food as a completely separate package from the reception dinner, meaning you’re essentially paying for two meals.

Liquor

And then there’s liquor. If your venue or caterer doesn’t provide a full open bar in their package, you may be looking at purchasing alcohol yourself, which sounds like a money-saving move until you start doing the math. There’s the cost of the alcohol itself, the mixers, the garnishes, the ice, the glassware rental if it’s not included, and the bartender who charges by the hour. If any of your guests are enthusiastic drinkers — and at most weddings, some are — you’ll be buying more than you planned for. Return policies on unopened bottles vary by state and by store, so overbuying isn’t always the safety net it seems like.
