10 Questions to Ask Before Booking Your Colorado Wedding Venue

Planning a Colorado wedding? Before you sign a contract with a wedding venue, knowing the right questions to ask a wedding venue before you sign anything could save you thousands of dollars — and a lot of wedding day stress.” The answers could save you thousands of dollars, give you insight into important considerations you may not have thought about — and truly minimize the stress you feel on your wedding day.

What Questions Should You Ask a Wedding Venue?

Booking a wedding venue is one of the biggest decisions you’ll make during the planning process. In Colorado, the venue options are plentiful — but many venues have hidden costs, possible logistical headaches, and unclear timelines that can cause a bride and groom a lot of unnecessary heartache.

Most couples don’t know what they don’t know. That’s how you end up with a 5-hour reception that only gives you 60 – 90 minutes on the dance floor, a catering bill that doubled by the time gratuity and transport fees were added, and centerpieces that look nothing like your Pinterest board.

Here are the 10 questions every couple should ask before booking their Colorado wedding venue.

Question 1) How Much Time Is Included in the Venue Rental — and How Much Time is Allocated for Dancing?

This is the question almost no one asks, and almost everyone regrets not asking.

Many venues advertise a “5-hour event package” that sounds generous. But once you account for the ceremony (45–60 minutes), a cocktail hour, dinner service, toasts, cake cutting, and the formal first dances — you may be left with less than 90 minutes of actual dancing time before the music cuts off.

What to ask: “Can you walk me through the typical timeline for a wedding here? How much dancing time do couples actually get?”

At a truly all-inclusive venue, your timeline is designed around your priorities — not a rigid turnover schedule. If dancing until midnight is important to you, that should be built into the plan from day one.

At our all-inclusive Colorado wedding venue in Brighton, CO Bella Sera Event Center, couples receive 7 hours of event time plus 2 hours of getting-ready time, and they walk into a completely decorated ceremony and reception by our expert team. Our brides don’t have to do a thing! Our Event Coordinators take care of handling and placing the couple’s own items out for them including: placing their menu cards or table #’s on each table, guest favors, seating chart, custom toasting goblets and cake serving sets, card box, guest book, programs, and more! Talk about stress-free, our brides are handed a mamosa and made to feel like a guest at her own wedding. Depending on the night of the week, dancing time at our venue is  2–3.5 hours.

What does a wedding timeline look like on a Friday or Saturday at Bella Sera Event Center?

  • Our decorating team arrives at 7:30am and begins setup and decorating!
  • Our Event Coordinator arrives 2 hours before the bride arrives and begins setting out all of the couple’s custom items and completes all the finishing touches.
  • Our bride arrives and everything is completely done for her!
Time Events
3:00 – 5:00 PM Getting ready and taking pre-ceremony photos
5:00 PM Guests arrive
5:30 – 6:00 PM Ceremony (length varies)
6:00 – 7:00 PM Cocktail hour and photo taking
7:00 – 8:15 PM Dinner reception, toasts, cake cutting, and cake serving
8:15 PM Formal dances and traditions
8:45 PM – 12:00 AM Dancing — bouquet toss, garter toss, sparklers, late-night snacks, and fun!

Our Friday and Saturday timeline allows for more than 3 hours of dancing. Every timeline is customized to each couple and has room for flexibility.

Question 2) Do The Venue’s Google Reviews Consistently Mention How Stress-Free the Couple’s Experience Was?

Reviews tell you so much more than star ratings. A venue can have 4.8 stars and still be a logistical nightmare if couples are managing 12 different vendors, chasing down timelines, and fielding phone calls the week of their wedding.

What to look for: Consistency among reviews from brides who use words like “seamless,” “stress-free,” “they handled everything,” “we didn’t have to worry about a thing.”

Things that are Red flags: Reviews that rave about the scenery but are vague about the planning process. If no one is mentioning how smooth the day felt, that’s a signal that the behind-the-scenes experience may be chaotic, or that they had to do a lot of the prep and decorating themselves..

An all-inclusive venue should have reviews where couples describe enjoying their own wedding — not just surviving it.

Here’s what real Bella Sera Event Center couples have said in our online reviews:

“The Bellissimo Package was a great way to go and eliminated a lot of the typical wedding planning stress. Bella Sera takes care of everything, including all of the cleaning! The venue is already beautiful but the staff works hard to make the décor unique for each couple.” — Zach & Breanna Smith

“The food was amazing, the DJ was amazing, the bartender was amazing, and everyone catered to exactly what we needed and gave us a completely stress-free wedding of our dreams. I cannot recommend them enough. Our only complaint is that it’s over and we don’t get to do it again.” — Bella Sera Couple, WeddingWire

“We were given our own planner, decorator, and food manager — each one treated every detail as if it were their own.” — Bella Sera Couple, The Knot

That’s the language to look for. If you can’t find reviews like these on the venue you’re considering, keep looking.

Question 3) Is Catering Done On-Site or Off-Site at a Wedding Venue— and What Is the Full Cost Breakdown for each option?

This is one of the most significant hidden cost traps in the wedding industry.

Off-site catering sounds simple: a caterer prepares your food and brings it to your venue. But the real costs pile up fast:

  • Equipment rentals: Chafing dishes, serving platters, linens, silverware — even if the venue provides china and glassware, you may still face bussing and dishwashing fees
  • Transport fees: Refrigerated vehicles, fuel, and staff travel time
  • Serving staff: Typically 1 server per 10–15 guests, all charged at hourly rates
  • Bussing and clearing staff: Often a completely separate cost from serving staff
  • Dishwashing and return transport: Someone has to clean and return all that rented equipment
  • Gratuity: Industry standard is 18–22% on top of the food cost and the service fees

By the time you’ve added it all up, off-site catering for 100 guests can easily cost $3,000–$6,000 more than the original quote suggested.

What to ask:

  • “What is the total all-in cost for catering, including rentals, staffing, transport, and gratuity? Can I see an itemized estimate?”
  • “How much food overage do you recommend for my guest count — 5%, 10%? I don’t want to run out.”
  • “How are appetizers handled — passed or stationed? If they’re on a station, should I expect guests to take 4–6 pieces each? How does that affect the staffing cost?”

With an on-site, all-inclusive catering model, food is prepared fresh on location. No transport risk — no cold entrées, no spilled sauces, no delayed arrivals — and no stacking of fees. The price you see is the price you pay.

Question 4) Can the Wedding Venue Show You All of  Their Centerpiece Options Fully Decorated Before You Decide?

Here’s a scenario that plays out at venues all over Colorado: A couple arrives at their reception to find their tables looking… fine. Simple. Flat. No height differentiation. Banquet looking. Nothing like the lush, layered tablescapes they’d pinned hundreds of times.

What happened? Their florist handled the centerpieces. And florists, as talented as they are, typically work within tight budgets and tight time windows on the day of the event. The result is usually a single vase with flowers — clean, classic, and completely without the height, layering, or volume that makes a reception look truly breathtaking.

What to ask: “Who decorates the centerpieces? What options do you offer in terms of height, style, and layering? Can I see photos of your actual setups — not just one style, but several fully decorated examples?”

At a full-service all-inclusive venue, you should be able to sit down with a designer, browse real options, and choose your look that comes within the package you chose— simple but customized, or tall dramatic arrangements, lush garden-style spreads, modern minimalist setups, candlelit tablescapes — and then have the venue’s team execute it entirely for you. You pick. They build. You show up to a reception that looks like your Pinterest board came to life.

Many venues work with a local florist who creates very simple floral centerpieces for the venue, and many times they end up looking like something you’d see at a corporate banquet – all low in height and not customized at all.

At Bella Sera Event Center, our in-house design team decorates every centerpiece the morning of each wedding. A personal designer is assigned to every couple so they can select their preferred style, height, and palette. We offer 4 unique packages, and each offers grander centerpieces as the package becomes more elaborate with multiple centerpiece heights and layering options that florists simply can’t replicate under day-of time constraints.

Question 5) What Is Included in The Venue’s Wedding Packages — and What Costs Extra?

This question should always come with a request for a written, itemized list. “All-inclusive” means something different at every venue. Some include catering but not bar service. Some include tables and chairs but not linens. Some include a ceremony space but charge a separate fee to flip it for the reception.

What to ask: “Can you give me a written list of everything included in the package price, and a separate list of common add-ons or fees that couples typically pay?”

If a venue hesitates to put it in writing, and says “it depends”, you may want to move on.

Question 6) How Many Weddings Does The Venue Host in a Day — and What Are the Start and End Times of Each Wedding?

Some venues host two weddings on the same day. That means your setup window is smaller, your staff’s attention is split, and your day can feel rushed from the moment you arrive. The venue can also feel very hot if your wedding is held later in the day after another wedding, when doors have been open and shut for hours, and sweeping and mopping and additional tear down and set up have to occur just before you arrive.

What to ask: “Are we your only wedding on our date? If not, how do you ensure there’s no overlap in tear down and set up before our wedding, the overall experience, or staff attention?”

You deserve to feel like the only couple in the building — because on your wedding day, you should be.

Question 7) What Happens If It Rains or the Weather Changes Suddenly – What is the Backup Plan at Your Wedding Venue?

In Colorado, weather is famously unpredictable. Afternoon thunderstorms roll in fast and wind is always inevitable, especially in summer at higher elevations. Any venue you’re considering should have a clear, practiced plan for weather contingencies — not a vague “we’ll figure something out.”

What to ask:

  • “What is your backup plan if weather forces us to move the ceremony indoors? Is there a fee to use the backup space?”
  • “Can I see photos of what the indoor backup looks like and where guests would sit, where the dinner tables would be, and if guests have to be shuffled around so tables can be moved in place after the ceremony?”
  • “Will guests have to walk through or see the dinner reception setup before it’s revealed?”

That last question matters more than most couples realize. Part of the magic of a reception reveal is the surprise — guests shouldn’t accidentally wander through your dinner setup because the rain contingency plan wasn’t thought through.

Question 8)  What Does The Event Coordinator Do on Our Wedding Day?

It’s surprisingly common for couples to spend months working with a venue coordinator during the planning process, then arrive on their wedding day and meet someone completely new who they never really met. That person doesn’t know your preferences, your timeline, or the hundred small decisions you made together. The result is a day that feels slightly off — not ruined, but not what you envisioned.

What to ask:

  • “Who will be on-site coordinating our wedding — and if it’s not the same person we worked with during planning, do we get to meet with them and see how the handoff was seamless?”
  • “What is the staff-to-guest ratio on the day of the event?”
  • “What specifically does the coordinator handle from the time we arrive until the end of the night?”
  • “What are we responsible for at the end of the night and what time do we have to be out of the venue?
  • “Can we leave anything to pick up the next day, or do all vendor rentals and our items have to be taken when our venue time ends?”

A great venue coordinator isn’t just a point of contact. They’re the person making sure your ceremony starts on time, your vendors are in the right place, your timeline stays on track, and you never have to solve a problem yourself on your wedding day.

Question 9) What Are The Venue’s Vendor Policies — and Why Do They Recommend Their Vendors Over Outside Vendors?

Some venues require couples to choose from a preferred vendor list, which can limit options and sometimes inflate the budget. Others allow full outside vendor access. Some charge a fee for bringing in anyone not on their list. It’s important to know exactly where you stand before you sign.

But the vendor policy question goes deeper than logistics. Ask the venue why they recommend their vetted vendors — because the answer reveals a lot.

Outside vendors, however talented, don’t always know the venue. That disconnect can cascade:

  • Photography delays: An outside photographer unfamiliar with the venue’s lighting, layout, and timeline may burn through your cocktail hour chasing shots — leaving your guests standing around and your dinner running late.
  • Cold food: An outside caterer who misjudges transport time or setup logistics can deliver food that’s lost its temperature — something no reheating tray fully fixes.
  • Coordination breakdowns: When vendors aren’t accustomed to working together, small miscommunications become big problems. Couples have found themselves — or worse, their mothers — stepping in to manage a caterer who didn’t know where to set up, or chasing down a vendor who left décor items behind that the venue later charged for.

What to ask: “Why do you recommend using your vendors? Can you give me examples of what can go wrong when outside vendors aren’t familiar with your venue?”

A confident, experienced venue will have real answers to this — not a sales pitch.

Question 10) Can We See Videos of Actual Weddings at The Venue — with the Recommended DJ, Coordinator, and Décor Set up in Action?

A tour of an empty venue on a Tuesday afternoon tells you about the space. A video of a real Saturday night wedding tells you about the experience.

What to ask: “Do you have videos of actual weddings at the venue — ideally showing the DJ, the event flow, the décor, and the dancing? Can we speak with a recent couple about their experience?”

Pay attention to what the videos show: Are guests dancing and having fun? Does the décor look the way you’d want yours to? Does the evening appear to flow naturally, or does it feel like everyone’s waiting for someone to tell them what to do next?

At Bella Sera, we’re happy to share real wedding videos and connect you with past couples. We want you to know exactly what your evening will feel and look like — before you ever sign a contract.

The Bottom Line: Asking The Right Questions of a Wedding Venue Before You Book, Can Guarantee the Best Outcome

Questions to Ask a Wedding Venue

These 10 are ones we consider the most important besides the obvious questions about total price, what’s included, can we bring in our own vendors, etc.

The right wedding venue doesn’t just offer a beautiful backdrop — it makes your entire day easier, more joyful, and more memorable. The wrong one quietly drains your budget, your time, and your excitement through hidden fees, poor timelines, and endless coordination headaches.

An all-inclusive Colorado wedding venue that handles catering on-site, decorates your centerpieces for you, designs your timeline around dancing, and earns reviews that consistently rave about stress-free experiences — that’s not just a venue. That’s a partner in one of the most important days of your life.

Take these 10 questions into every venue tour. Your future self — the one dancing at midnight with your new spouse — will thank you.

Frequently Asked Questions

What should I look for in a Colorado wedding venue? Look for transparent, itemized pricing; on-site catering; a timeline that protects your dancing time; strong reviews that specifically mention a stress-free experience; and a dedicated coordinator who will be present on your wedding day — not just during planning.

How much does off-site catering really cost for a wedding? When you factor in equipment rentals, transport fees, serving staff, bussing staff, dishwashing, return transport, and 18–22% gratuity, off-site catering for 100 guests can cost $3,000–$6,000 more than the initial food quote suggests.

How do I get Pinterest-worthy centerpieces at my reception? Ask venues specifically who decorates the centerpieces and what style options are available. All-inclusive venues with in-house design teams — like Bella Sera — offer multiple height and layering options and execute the full setup themselves, giving you results that a florist working under day-of time constraints typically can’t match.

How much dancing time will I actually get at my wedding? In a typical 5-hour reception, once you subtract the ceremony, cocktail hour, dinner, toasts, and formalities, most couples are left with fewer than 2 hours of dancing. At Bella Sera, our 7-hour event package is structured so that couples enjoy 2–3 hours of dancing, often running until midnight.
